Position Title: Director of Administrative Systems

Department: Information Technology Services(ITS)

Reports To:    Executive Director of Information Technology Services and CIO

 

 

Position Summary

 

Reporting to the Executive Director of Information Technology Services/Chief Information Officer, the Director of Administrative Systems has responsibility for leading the College's efforts to enhance and support the Jenzabar suite of enterprise resource planning applications in order to maximize the effectiveness of the CX system to empower staff, faculty and students to better accomplish their goals.  This is to be done through leveraging an advanced competency of existing and emerging technologies and their application to enterprise-level administrative systems used in higher education.

 

The Director of Administrative Systems provides leadership and vision in (1) planning and implementation of new technologies to replace or enhance existing systems and/or processes, (2) establishing strong collaborative relationships with all stakeholders, and (3) providing a strong leadership role, fostering excellent customer service, and promoting continuous professional development for the administrative systems staff. 

 

The Director of Administrative Systems assists with technology planning and the development of short and long-term technology initiatives relating to the Jenzabar CX system and the web.  This position frequently leads projects involving members of the ITS staff, as well as key stakeholders within other departments of the College.  This position is responsible for providing overall prioritization of work assignments and management of technical team resources and their activities, including managing staff, scope of work, objectives, and quality of deliverables. This position will define and manage projects at the task level, which includes providing technical direction and leadership to project teams in order to establish accurate and comprehensive project plans and defined deliverables.  This should be accomplished through a collaborative, supportive leadership style that inspires focus on institutional service, as well as providing the essential resources for high-level job performance. 

 

In addition to project support, the Director of Administrative Systems will plan, organize, direct and manage day-to-day maintenance and development of the Jenzabar CX system, system interfaces and the web, including a significant amount of hands-on technical support.  The Director is responsible for supervising, training, and evaluating staff; directing the installation and upgrade of system software; and research, review, and recommendation of technologies and processes related to administrative systems support.

Provide day-to-day, production support to Jenzabar CX users.  Support includes troubleshooting production issues, analysis of setup and procedural changes, system administration, custom modifications and query/report development. Prioritize, monitor and manage work order resolution in the Track-It system for the administrative systems team.

Support of web development activities, integration of web services with administrative systems, and implementation of online portals.

Support end-user system training needs, including orienting and training users in use of the CX system, as well as group training sessions for general system functionality and/or specific departmental needs upon request.

Lead the design and development of future business processes in consultation with departmental managers and process owners, applying knowledge of Jenzabar applications to organization-specific needs and processes.

Support implementation and integration of third party software, systems and end-user tools, including driving the transition from character-based to graphical and web-based user interfaces.

Maintain and develop vendor and consultant relationships related to both existing and proposed solutions, including evaluation and recommendation of vendor software packages and tools.

Position Requirements

 

Bachelor's degree in computer science, management information systems, or other technology related field is required.

 

Minimum of five years of progressively responsible IT experience required, preferably in a higher education environment, including a minimum of:

 

§  Five years technical knowledge and experience in application development

§  Three years of experience in supporting development, enhancement and modification of large, enterprise-wide relational/ERP systems

§  Two years of experience in an IT supervisory or management capacity; management of application development teams or ERP support teams preferred

§  One year in a capacity that directly or indirectly supports end-user query/reporting access to business data (i.e., data modeling, data analysis, database development/support, query/report development)

 

Working experience with the Jenzabar CX/CARS system is highly desired, preferably in a technical support or application development role.

 

A broad base of technical knowledge and skills related to application development and support, including the following desired experience:

 

§  Knowledge of relational database and data warehousing concepts

§  Programming experience using relational database management software, preferably Informix, in a UNIX/AIX operating system environment

§  Experience with report writing and report writing tools, preferably COGNOS Impromptu

§  Knowledge of and ability to write complex Structured Query Language statements

§  Working knowledge of UNIX and ability to write UNIX shell scripts

§  Experience with Jenzabar Internet Campus Solution (JICS) and CRM portals

§  Experience with Perl/CGI, .NET and Java

§  Experience with HTML, CSS, JavaScript and other Internet standards; experience with  web design/development software

 

 

A comprehensive understanding of the role of information technology and administrative systems within the College, how they support the College’s mission and goals, and how the system components interrelate, as well as knowledge of academic-related business processes and general College administrative practices is preferred.

 

Ability to effectively and efficiently manage multiple projects and efforts simultaneously is required.  Knowledge and understanding of process and project management concepts, methodologies and tools developed through formal training/education and/or actual demonstrated work experience required, including the ability to plan, estimate and schedule multiple tasks in developing detailed resource and project plans.

 

Demonstrated exceptional leadership abilities, with the capability to build, train, mentor and retain highly productive and motivated cross-functional teams.  Demonstrated proficiency at managing a technical staff by standards that are team-oriented and collegial, while fostering collaboration, responsiveness and flexibility in a service-oriented environment.

 

Demonstrated ability to form and maintain collaborative partnerships across a complex organization with diverse constituencies.  The ability to communicate effectively by adapting approach, language and style to a wide variety of audiences, including internal and external stakeholders that are both technical and non-technical.  Exceptional interpersonal communication skills, both oral and written.  The ability to grasp and communicate the big picture while remaining conversant with details.  Ability to build consensus on complex and sometimes controversial subjects.

 

 

Supervisory Responsibilities

 

The Director of Administrative Systems has management responsibility for professional staff and student workers, which support the following functional areas: application development, system administration, web development, system integration and data reporting. 

 

 

Span of Control

 

Responsible for all administrative systems support services and resources, including strategy, research, development, planning, personnel, budget and operations.  Oversight and management of all administrative systems day-to-day support functions and projects, including needs assessment, priority-setting and the delivery of project results, including resources, timelines, workload planning and budgets.  Direct management responsibility for the administrative systems annual operating budget.
